Automations are composed of Filters and Actions. Filters determine which meetings are affected, and Actions determine what happens to those meetings.
Here is a more in-depth look at the meaning behind these Automation building blocks!
Table of Contents
Filters
Use Filters to select the right meetings based on Title, Invitees, and the meeting Organizer.
You can combine filters, but the automation will only trigger when all filter conditions are met.
Title
Titles can be filtered based on the presence or absence of words you specify. Here is a list of the Title filters with descriptions of their functionality:
Includes/Excludes: If the title of the meeting includes or excludes certain words, names, etc., the conditions set for the Automation will apply.
Is/Is not: If the title of the meeting is or is not exactly titled as named for the filter, the conditions set for the Automation will apply.
Starts with/Ends with: If the title of the meeting starts or ends with a certain word(s), name(s), etc., the conditions set for the Automation will apply.
Invitees
Use Invitee filters to handle internal meetings different from those with external participants.
Internal-only invitees: A meeting is considered internal-only when all invitee email addresses use the same domain as yours.
For example, an internal-only Rewatch meeting would be one where each invitee has a @rewatch.com email.
Setting the filter to this configuration will apply the Automation conditions to internal meetings only.
External invitees: A meeting is considered external if at least one meeting guest doesn’t use the same domain email as you.
For example, if at least one person joining the meeting has a @google.com email, that would automatically be considered an external meeting.
Setting the filter to this configuration will apply the Automation conditions to external meetings only.
Organizer
Use Organizer filters when you want to treat meetings you organized differently from those organized by another person — inside or outside your company.
Me as the organizer: You’re considered the Organizer of a meeting if you created the event on your calendar and invited others to the event. Setting this as your Automation filter will apply conditions to meetings that you set up only.
Someone else as organizer: If someone else created an event on their own calendar and invited you to the event, that person is considered the organizer. Setting this as your Automation filter will apply conditions to meetings that others invite you to only.
Actions
Based on the Filter(s) you’ve selected, Actions will “take action” on the recordings that may apply. Actions allow you to Add to collections that have already been created in your channel, Set visibility to specific conditions for those meetings, and Share with invitees after the meeting has ended.
Add to Collections
The Add to collections option shows you a drop-down list of your channel’s collections that match the title as you type in the search box. This action efficiently allows you to automatically organize your channel as your meetings are imported.
Use Notes Templates
The Use Notes Templates option lets you select which of your channel's AI Notes Templates will be used for these meetings. This action is useful for automatically generating the appropriate AI-generated content when the video is added to your channel.
Set Visibility
The Set visibility option controls who will be able to view the imported meeting.
Published: If this Action is set to Published visibility, this will allow members to search for these automated recordings, view them in the channel’s Library, and/or allow them to be visible in their corresponding collections so long as they’re not Secret collections.
Private: If this Action is set to Private visibility, this will restrict the recordings to only be viewable by specific people and/or within specific Secret collections, as well as channel owners.
These conditions would depend on the Filters set to determine who applies to which configurations of this Action.
Share with invitees
The Share with invitees option sends invitees an AI-generated meeting recap and grants them access to the meeting, as well as its transcript and other data being retained on the channel.
All invitees: Select this option if you want all invitees to receive this data.
Only internal invitees: Select this option if you want only invitees with email addresses using the same domain as yours to receive this data.
Only external invitees: Select this option if you want only invitees with email addresses using different domains as yours to receive this data.
